Procedures to Improve Your Practice

The most important and overlooked procedures in the doctors office is the fact that there is a need for systems and outcomes for the patient. What that means is there should be a procedure and policy for everything that happens in your office.

I have been to many offices that are currently flying by the seat of their pants. If there is a question from a staff member about how to do something in the office, address it and create a procedure or policy for it.

Staff meetings are a great place to make this happen. Set aside at least an hour a week to go over your current procedures. This is the time to incorporate new ideas into your practice and improve on the ones you are currently using. Staff meetings are the time to reconnect and further communicate with your staff about what is going on with other aspects of the practice. Continued training, problem patients, practice statistics, plans and the goals for the week are also discussed. Mondays at 12:30 would be the best time to incorporate your meeting.

You may have heard this before but in most offices the mission statement is no where to be found. Your mission statement should be a definition of the type of service you want to provide for your patients. Thomas Edison had a mission statement that was simple and to the point about the doctor of the future: "The doctor of the future will give no medicine, but will interest his patients in the care of the human frame, in diet and in the cause and prevention of disease." Your mission statement should be hung up next to his in a framed poster size picture frame in the reception area so that patients know that they have come to the right doctor. It should be a reflection of you and the clinic and should be embraced and looked upon in your office as the symbol by which you conduct your practice.

When a doctor leads by example and openly shares his vision of the practice, a team oriented atmosphere is cultivated. A great team of individuals that are cross trained, motivated and have a full understanding of Chiropractic are thereby created.

GOAL SETTING

2009 is quickly creeping up and before you know it the New Year will be upon us.  Instead of waiting until the last minute to set some goals and trying to come up with a plan for 2009, wouldn't it be smarter to organize and make decisions you know need to be made now? 

How many times have you made lofty goals and New Year’s resolutions, like losing weight or making tons of money, only to see those dreams never get close to being accomplished?  Constant failure of reaching your goals will only make you frustrated and discouraged.  Instead you need a Goal Setting plan that will help you to organize your thoughts and ideas, so next time you will have a fighting chance!  
 
Wikipedia defines Goal Setting as “goal-relevant activities which involves establishing specific, measurable and time targeted objectives.”  Goal setting can be extremely powerful for accomplishing defined objectives, but it requires more than just writing down your goals to realize them being achieved.

Besides writing down your goals you need to breakdown your goals into manageable steps, so you will be able to track your progress.  It is important to take a step by step approach toward your ultimate goals, from an organizational perspective, in order to stay motivated, reminded, and accountable.

A good way to start Goal Setting is by using the SMART acronym used by many experts. SMART stands for:  Specific — Measurable — Action-Oriented — Realistic — Time and Resource Constrained.


1. Specific
Every goal should be specific enough to have a clear understanding of what you are striving for.  Understanding what you want is half the battle!  The more specific and narrowed down your goals are, the better your chances are of achieving them.

2. Measurable
A well organized time-line is necessary to measure how your goals are progressing.  It is also a way to validate your efforts when a goal has been reached.


 3. Action-Oriented
To make sure desired results are attained, you must confront your goals.  You must attack them with a conviction and a belief that your goals will indeed be attained.  A course of action must be realized.


4. Realistic
Your goals have to be practical and realistic.  You need to establish confidence, which can lead to a higher level of motivation and push towards loftier goals.


5. Time and Resource Constrained
This simply means that a definite deadline for completion needs to be addressed with a limited availability of resources.  Know what your limitations are as well as what your potential is.  Be positive and track your progress.

It is important to understand that Goal Setting is an ongoing process that is accomplished over time. At first, trying to write down your goals and creating a plan of achievement may prove to be a daunting task, but over time it really does become much easier. It requires a great deal of patience, persistence, faith, and dedication to master a successful Goal Setting Plan. 

Make sure to keep track of any set backs as well as marking down major achievements on your calendar.  Be sure to celebrate and reward yourself, your staff, and all who helped in reaching important goals; it will reinforce your efforts the next time you set goals and provide a map of the steps taken to achieve them.

Soon 2009 will be upon us. Why not put into action a strategy to give you piece of mind that your goals will actually be implemented? Goal Setting can be the missing link turning your past failures into successes and frustrations into realizations.  Discover the power of planning your goals and actually seeing them achieved.

How to Stay Encouraged - 10 Tips to Keep You on Top

Running a business, especially in the early years, can be an emotional roller-coaster ride. Running the many facets of the business, managing cash flow, handling difficult clients, adapting to changing markets, and all in an unpredictable economy, can be overwhelming. On top of that, life simply isn't always fair. Some days, it's easy to become discouraged and let the inner fire that inspired you to launch this venture wane. There are times when we all need encouragement.

Below are 10 tips to help you stay encouraged and press on in spite of the ups and downs, adversities and setbacks you may face.

1. Be careful what you think. Our thoughts have enormous power to affect how we feel. They determine our attitude. Read or listen to positive, inspirational books and reflect on what you learn.

2. Seek out someone you can encourage. Others around you need your help and support. Reaching out to someone else will lift your spirits too.

3. Think about what motivated you to start your business. It was probably more than a paycheck. Perhaps something you're passionate about that will make the world a better place. Maybe something you enjoy and are really good at. Review and recommit to your company mission. Write or rewrite the vision you have for the business.

4. Don't try to do it alone. Recruit a team of cheerleaders. Surround yourself with positive, upbeat people who can be your sounding board and provide the business know-how you need. Choose those who'll be honest with you, yet give the emotional support and encouragement we all need when the going gets tough-your own personal board of advisors.

5. Focus on the positive. Be aware of and stop all negative self-talk. Write out and repeat positive affirmations.

6. View setbacks as stepping-stones to success. Don't waste time and energy rehearsing past (or possible future) negative events. Determine to learn from every obstacle in your path and every mistake you make. These experiences, the lessons learned and knowledge gained will serve you well in the future, and better equip you to help others.

7. Find someone to brainstorm with, bounce ideas off and learn from. Just sharing your frustrations and challenges with another can lighten the load. Consider hiring a personal or business coach.

8. Smile often. Studies show that smiling releases endorphins that make us feel good. It also causes a measurable reduction in our blood pressure. Try it! It works, even when you don't feel like smiling.

9. Create a pleasant environment you enjoy working in. Our surroundings affect the way we feel. When the sun is shining, it's easier to be cheerful. Music can also be a powerfully enriching tool to calm and revitalize us.

10. Be good to yourself. Take a break. Go for a walk and enjoy nature. Do something different. Take a mini vacation-get away
